A date was found and it's probably right — but not certainly. It's held with the reading and the wording it came from, and one of your team ticks it off.

Usually a stamp over the handwriting, a faint photocopy, or a card filled in by two different pens.

Manual, every time

Nothing is written. The document goes to a person to handle the old-fashioned way, and the checker tells you why it wasn't sure.

Also where unreadable documents, wrong documents and missing vaccinations land.

The thresholds are yours

98 and 95 are an example, not a rule. Set the bar wherever your licensing and your risk appetite put it — including high enough that nothing is ever applied automatically and every certificate is simply pre-read for a human.

Ambiguity scores low on purpose

A date written 03/04 could be March or April. Rather than pick one and sound confident, the checker deliberately drops its score so the reading lands in front of a person. Being unsure out loud is the whole design.

What it looks for

Everything a member of staff would look for, on the certificate in front of them.

Your required vaccinations

Only the ones your business requires for that species. A kennel requiring kennel cough and a cattery that doesn't each get results against their own rules.

The product name

Vets write the brand, not your category. "Nobivac L4" has to be recognised as the leptospirosis you asked for, and that matching is shown to you.

The date given

The date of administration, read in whatever format the practice happens to use — and flagged rather than guessed when the format is genuinely ambiguous.

Any expiry printed on the card

Where the certificate states a "valid until" or booster-due date, that's picked up too rather than inferred from the date given.

Whose pet it is

If the pet named on the certificate doesn't match the pet on the booking, that's flagged. Certificates get attached to the wrong pet more often than anyone would like.

Whether it's a certificate at all

An insurance letter, a receipt or a blurry photo of a table comes back as unreadable with zero confidence — a valid finding, not an error.

How you'll use it day to day

At launch

You press the button

Open your vaccinations screen and you'll see the certificates that have come in recently, waiting to be dealt with. Pick the ones you want read and set the checker going.

It works through them, pulls out the dates, and copies the confident ones straight onto each pet's profile. You review what it wasn't sure about.

Reading a certificate takes roughly ten seconds, so this is a "start it and go make a coffee" job rather than an instant one — which is exactly why it isn't wired into the upload itself yet.

Later

You don't press anything

The next step is to move the whole thing into the background. A certificate gets uploaded, and it's read on its own — no screen, no button, nobody waiting.

By the time anyone opens the pet's record, the confident dates are already on it and only the genuine queries are sitting in a queue.

Same reading, same scoring, same thresholds — just without the button. We'll roll it in once the first version has proven itself on real certificates.

Built to be doubted

A wrong rabies date isn't a user-experience problem, it's a licensing one. So the checker is designed to be checkable.

It shows its working

Every result carries the exact text on the document it was read from, so a five-second glance tells you whether to trust it.

It says when it doesn't know

Unreadable comes back as unreadable with zero confidence. It never fills a gap with a plausible-looking date.

You keep the veto

Anything below your threshold waits for a person, and you can set that threshold so nothing is ever applied without one.

The original is kept

The certificate stays on file next to the dates it produced, so you can always go back to the source document.

Why this one costs extra

Nearly everything in KennelBooker is included in your plan. This won't be, and it's worth being straight about why.

Reading a document with AI costs real money every single time — per certificate, per pet, forever. We could bury that in everybody's monthly price, but then the businesses processing five certificates a month would be quietly subsidising the ones processing five hundred. So it'll be an add-on you switch on if you want it.

If your team handles a serious volume of certificates, the staff hours it gives back should make the maths obvious very quickly. If you only see a handful a month, carry on doing them by hand — and pay nothing.

When will the AI vaccination checker be available?

It's in development and not available yet. We'll announce it once it has been released — there's no waiting list to join and nothing you need to do to prepare. If you're already collecting certificates through PawCheck or the online portal, you're ready for it as-is.

How does the AI vaccination checker work?

When a vaccination certificate is uploaded, the document is read and checked against the vaccinations your business requires. For each one it returns the date administered, any expiry date printed on the certificate, a confidence score, and the exact wording on the document it read the date from. Results that clear your confidence threshold are copied onto the pet's record; anything below it is held for a person to look at.

What is the confidence score?

Every date comes back with a score for how certain the reading is, and you set the bar. A typical setting is to auto-apply anything at 98% or above, send the 95–98% band to a person to confirm, and treat anything below 95% as manual. A date that is genuinely ambiguous — 03/04 could be March or April — is deliberately scored low so it lands in front of a human rather than being guessed at.

Does the AI approve vaccinations automatically?

Only within the band you allow. Below your threshold nothing is written without a person confirming it. A wrong vaccination date is a licensing and liability problem, so the final call always stays with your business — and you can set the threshold as high as you like, including high enough that nothing is ever applied automatically.

What does my customer see?

Nothing different. They upload the certificate exactly as they do now. There's no extra step, no waiting on a spinner and no AI wording in front of them. All of the work happens on your side, after they've finished.

What happens if the certificate is blurry or the wrong document?

It says so rather than guessing. An illegible document, or one that isn't a veterinary vaccination record at all, comes back as unreadable with zero confidence and is flagged for manual handling. It will also flag when the pet named on the certificate doesn't match the pet on the booking.

Does it work with PDFs as well as photos?

Yes. Customers upload whatever their vet gave them — a phone photo of a vaccination card, a scan, or a multi-page PDF — and the checker reads it.

Will the AI vaccination checker cost extra?

Yes. It will be a paid add-on. Reading documents with AI costs real money on every certificate processed, so it's opt-in for the businesses that want it rather than something added to everyone's price. Pricing will be announced at launch.
