The best dog daycare software (and the app your clients will use)

People ask "what's the best app for dog daycare?" as if there's one answer. There isn't, because daycares don't all run the same way. A 15-dog daycare in a converted barn has different problems from a 60-dog facility running two playgroups and a boarding wing. What you can say is which features matter for daycare in particular, and how to find out quickly whether a system has them.

Daycare is not boarding with shorter stays. The same dogs come back two or three times a week for years. People pay in bundles. You have a hard limit on how many dogs you can safely have on site, and everyone turns up in the same 40 minutes. Software built mainly for overnight stays often struggles with those.

The features that matter for daycare

A daily limit that counts dogs

Your capacity is a number of dogs per day, not a number of rooms. Good daycare software lets you set that number and stops taking bookings once you reach it, online included. It should also cope with full days, half days and hourly sessions, because a half-day dog still counts towards your morning numbers.

Recurring bookings for your regulars

Most of your income comes from dogs on a fixed pattern: every Monday, Wednesday and Friday, or every weekday in term time. Typing those in one at a time is how mistakes happen. You want to enter the pattern once, have the system check availability for every date, and send the owner a single confirmation. In KennelBooker you can book a regular's schedule for up to three years in one step.

Packages and credits

If you sell "10 days for a set price" or monthly passes, the software has to track what's been used. Credits should sit on the customer's account and come off automatically at checkout, with a clear history for the day someone says "I'm sure I had two days left." If you're still deciding how to price, we compared the options in flat rate vs packages vs subscriptions.

Check-in that survives the morning rush

Picture 7:45am with six owners at the door and a dog who won't settle. Check-in needs to be a search box and a button. If it takes four screens to mark a dog as arrived, staff will stop doing it and your headcount for the day will be wrong.

Evaluations before the first day

Most daycares want to meet a new dog before it joins a group. Your software should be able to block daycare bookings until a dog has passed an evaluation, so a new client can't book themselves straight into a busy Friday.

Vaccinations, with alerts

Group play spreads illness, so you need current vaccinations on file and a warning when one has expired. The best setups let owners upload certificates themselves and flag problems at booking and again at check-in. We cover what to ask for in our vaccination policy guide.

Boarding on the same calendar

Plenty of daycares also board, often the same dogs. If daycare and boarding live in different systems you end up with two customer records, two sets of vaccination dates and no single view of who is on site tonight. One calendar avoids all of that.

The app your clients will use

"Best app for dog daycare" is often a question about the client side too. Owners now expect to book, pay and update their details from their phone without ringing you. At a minimum, the client portal should let them:

  • see available days and book, or request a booking you approve
  • pay a deposit or the full amount, or use package credits
  • upload vaccination certificates and update feeding or medication notes
  • sign your waiver before the first visit
  • see what's booked and what they owe

Small extras make a difference to how owners feel about you. KennelBooker lets you email a photo postcard from a booking during the day, which takes a few seconds and tends to get shared.

How to test daycare software in a week

Demos show the best path through the product. A trial shows how it handles your real days. Before you commit, try these with your own data:

  1. Set your daily limit, then book dogs until you're full. Check that the online portal stops taking bookings too.
  2. Enter a real regular: three days a week until next summer. Count the clicks.
  3. Sell a 10-day package, use three days, refund one and check the balance makes sense.
  4. Check in ten dogs as fast as you can on a phone.
  5. Mark a dog's vaccination as expired and try to book it in.
  6. Book a daycare regular into a two-night boarding stay and see whether it appears on the same calendar.

If any of those needs a workaround on day one, it will need the same workaround every day for years.

What daycare software costs

Pricing models vary more than features do. Some vendors price daycare as its own module or tier, some charge per location, and some add fees for SMS or online payments. Ask for the total monthly cost at your current size, with everything you'd actually use switched on.

KennelBooker uses one plan for every service. It starts at $49.99 a month for up to 10 daycare spaces, and the larger plans raise that to 30, 60 and then unlimited spaces. Grooming, training, boarding, online payments, the booking portal and POS are in every plan. Prices are shown in your own currency on the pricing section, there is no contract, and the 14-day trial needs no card.

How KennelBooker handles daycare

Everything in this checklist is in the product: daily limits that block online bookings when you're full, full day, half day and hourly bookings, recurring bookings up to three years ahead, packages and credits with a ledger, quick check-in, evaluation checks, vaccination alerts and a client portal. Boarding and the other services share the same calendar. You can see more on the daycare software page, or start a trial and run through the test above yourself.

Frequently asked questions

What is the best app for dog daycare?

The best one is the one that handles your regulars, your packages and your morning rush without workarounds. Look for a daily dog limit, recurring bookings, packages or credits, quick check-in, vaccination alerts and a portal where owners can book and pay themselves. Test those during a free trial with your own data before you decide.

Can I run daycare and boarding in the same software?

Yes, and if you offer both you should. One calendar means one customer record, one set of vaccination dates and one place to see who is on site. KennelBooker includes daycare, boarding, grooming, training, dog walking and homestay in every plan.

How much does dog daycare software cost?

Prices vary a lot depending on whether a vendor charges by module, location or service type. KennelBooker starts at $49.99 a month with daycare included, and the plans step up by how many daycare spaces and boarding rooms you need. There is a free 14-day trial with no card required.

Is there free dog daycare software?

There are free tools you can bend into a daycare system, such as spreadsheets and shared calendars, but they don't count spaces, apply packages or check vaccinations for you. We go through the free options in our guide to free kennel software.
